Creaking at the seams

Finance Director Steve Marjoram joined Recresco at the end of 2012, although he’d been working with the company for some time as an external Client Relationship Manager at a profession services provider. “When I came in it was quickly idenfified that the financial information needed to be faster, more sophisticated and accurate in order to maintain growth. It was obvious that we had outgrown our existing accounting software, Sage 50 and needed to find a suitable replacement”.

After Steve was invited to join Recresco as Finance Director. “My role was to come in and take the business forward,” he explains. “By this point Sage 50 was literally creaking at the seams. The nature of our business is that we’re constantly moving raw materials in and product out, via weighbridges. The system resulted in a number of spreadsheets and other data that required manual input. As the business had grown we had adapted the system to cope with it, but we had created bottle-necks and duplication not to mention the risk of human error.”

Steve consulted a few contacts’ and, with the help of Commercial Director Simon Etches “who had already obtained a quote from Xperience Group”, decided that Sage 200 “was going to be the most suitable upgrade that would see Recresco through the next five years”.

Seamless implementation

“Xperience’s Curtis Norman came in to do a day’s scoping and really impressed us with his understanding of our business and the flexibility of the product,” says Steve. “We came to a price and timescale that suited both parties, placed the order for Sage 200 in June 2013, began training and implementation in August and went live on the 1st October which coincided with our financial year end.”

Was the new system well-received? “Like many financial teams, I expect, there was a reluctance to change,” Steve continues. “But the fact that our team were already familiar with a Sage platform definitely smoothed the migration. As a company, we’re always looking for ways to improve procedures and make them easier for our people to manage. So I told the team that, wherever there was solid evidence of improvement, we’d be prepared to invest the money with Xperience for development. I’d say that 95% of the time we’ve asked Xperience if we can do such-and-such with Sage 200, they’ve come back with a positive solution.

“We’ve just had some in-house training on Sage report writing for example. One of our IT team, although a good computer programmer, wasn’t specifically trained in Sage. So he and one of our finance team had Xperience in for a day’s training with a view to developing some bespoke reports.

“Overall, we’ve found Sage 200, and Xperience’s services, to be very cost-effective. In other words, it wasn’t as expensive as some of the competitor packages. Plus there was a high degree of familiarity with the Sage platform which made life easier for everyone.”

Real-time visibility

“In our experience I’d say that 80% of what you get with Sage 200 is ‘out of the box’,” Steve says. “But, with the help of Xperience’s developers, we’ve been able to tailor the software to manage several very specific and bespoke aspects of our business.

“The most important aspect, of course, is the tracking of material movements. Now, instead of large quantities of paperwork,, data gets uploaded straight into Sage 200. Everything is faster and more controllable with less risk of missing data, duplication or human error. Also, thanks to the bespoke reporting, we can account on a more accurate and timley basis for GRNI accruals.”

In summary? “Sage 200 is definitely earning its keep,” Steve says. “The staff are happy with the system and it’s delivering clear business benefits, especially as regards streamlining our weighbridge procedures. Xperience has been great, always coming up with a solution for just about any issue we have. I had a gut feeling they were the right people. I’d looked around at a few providers but hadn’t obtained particularly brilliant feedback from anyone else, so we decided to go with Xperience and I’m pleased we did!”
