What is the Xperience Timesheet Portal?

The Xperience Timesheet Portal enables operatives to submit timesheet data remotely using a smartphone or tablet. Supervisors can then review and approve timesheets directly within the portal. Once approved, the data is automatically posted to Business Central and Contracts365 for seamless payroll processing and contract costing.

By eliminating labor-intensive, paper-based processes, the Xperience Timesheet Portal enhances efficiency, reduces processing errors, and minimizes queries, streamlining operations for both operatives and back-office staff.

Key features of the Timesheet Portal

  • Easy to use interface

The portal is accessible on both smartphones and tablets, offering a user-friendly interface. To manage an open Timesheet, simply navigate to the “Open Timesheets” section.

  • Intuitive Summary of the Timesheet Data

Operatives can quickly view a clear summary of the hours logged for each workday. They can also add non-hourly pay items, such as expenses or day rates. To save time, a full day’s entry can be easily copied to the next day.

  • Full Functionality for Adding Timesheet Details

    Operatives can easily add multiple timesheet entries for various tasks or absences throughout the workday. Start and end times are entered, and the Contract Number is selected directly from Contracts 365. Users can also add ‘Work Type’ and ‘Work Descriptions’ as needed. Additional fields allow for recording details such as mileage.

    Lunch breaks are automatically accounted for, reducing the time applied to the ‘Pay Item.’ All time entries are processed against the pre-configured ‘Pay Items’ within the Timesheet Portal.

    Absences, including sickness, training, and non-productive time, can also be configured and added seamlessly through the portal.

  • Timesheet Approvals

The Xperience Timesheet Portal offers customizable approval workflows, allowing supervisors and site foremen to approve timesheets for their teams before submission for processing. Approvals can be set up at either the timesheet or timesheet line level.

The portal provides clear visibility into timesheets that are Awaiting Approval, In Query, or have been Delegated for Approval.
