How to check a User’s Record Access in Dynamics 365 CRM

Summary

Sometimes getting a user’s security access to records spot on can be fiddly and you’re not quite sure why access has or has not been given. Thankfully, there’s an easy way to check a Users access to a specific record within the Dynamics CRM user interface.

How do I do this?

Within any record there is a ribbon command called “Check Access”

Clicking on this presents a new window that shows the currently logged on Users access:

You can select which permission you are looking at by clicking on the permission/access type (Read, Write, Create, etc). The “Assigned directly” section below will then show you how those permissions are obtained.

System administrators can also change which user is being checked by utilising the user lookup field in the top left hand corner.

Getting Record access right

The combination of seeing which roles give which permissions allows a smoother experience when fine tuning security. If you don’t have the required permissions then your system administrator can use this information to tweak your security roles to get the required access.
