Our Approach

At Xperience, we follow a proven project delivery methodology. From system scoping through to go-live, our purpose is to make sure your projects are delivered successfully, on time and on budget.

1. Scoping

We take the time to understand your business and requirements through a detailed scoping exercise.

Scoping workshops – the requirements for the new system are specified through a series of scoping workshops. These review current processes and look at how Microsoft Dynamics 365 Business Central with contracts365 and/or service365 will be used to meet the requirements of the business.

System Scoping Document – a detailed document is prepared that sets out all aspects of the system – how it will be configured, any customer-specific developments, how data will be converted, integration with third-party system and specific reporting requirements. This document forms the template for the system design and defines the project being delivered.

Project Implementation Plan – will allow you to set out the timeline for the project and allocate weekly tasks and functions to the members of the project team.

2. Design

This is where we start to build your system. We set up a test system and start to deploy the functionality and features that have been specified in the system scoping document. This includes a test data conversion, document layouts, and key reports.

During the design stage, we will also complete detailed specifications of any customer-specific developments and integration that is required with other key systems.

3. Develop

Once the core system has been deployed in a test environment, we start to write any specific developments or integration with other systems that might be needed.

4. Deployment

This is the stage where you start to get busy. You will now have a fully deployed system with your own data and any specific developments that were required. However, before you go live there’s a lot of work required.

User Workshops – we’ll take the key members of your project team through the entire system working through each process in each module to ensure that the system is working as designed and as you expected.

User Acceptance Testing – after some initial training your key project team will be required to test the system. This will be to make sure that each part of the system is posting transactions as expected and that all other aspects of the system such as role centres, reports and documents are correct. We guide you through this process and provide user acceptance sign off documents to make sure that everything has been covered.

Go Live Readiness Assessment – At the end of the user acceptance testing, we will meet with you to assess whether we are ready to go live.

Go Live Planning – A separate go-live plan will be prepared and agreed to cover how each functional area of the business will migrate from the legacy system to Microsoft Dynamics 365 Business Central. A go-live meeting will be held to clarify this process for all staff.
Training – prior to go live, end-user training will be completed. We aim to complete this as close to the go-live date as possible.
Go Live – The data conversion is completed and we’re off!


This stage normally lasts between 4 and 6 weeks as we assist with your transition to a new system. We will have staff on-site immediately after the go-live to deal with any immediate issues or additional training that is required. At the end of this period, you will be handed over to our UK support team and helpdesk, who are on-hand to help with any questions and technical hitches post go live.
